Planning is your “trump card” for successful work
Everyone definitely got in such situation. We have a certain period of time - (for example, five days) and there is a certain list of tasks and problems which have to be done necessary by the end of this period of time. It would seem for us not a problem to succeed in time, but eventually, the closer we are coming to the edge of finish the more clearly we realize that we have not succeeded to do all the tasks from the list and the time occasionally has passed somewhere. What has happened? Where does the time leave?
Such situations are frequent in our daily life, in work, in rest, in any area of our activity. If you look at this situation more rationally, it is possible to avoid disappointment connecting with losing our time. For example, you have 5 hours on working out the certain project. Put your tasks according their priority and according you are going to settle the issues. Now take your typical working day and define how much time you use on start. So then you should add the time for starting to the 5 hours for example of your working time.
Also consider that time necessary for "switching over". Organize breaks on rest. Instead of several big breaks on half an hour on coffee, take breaks of 5-10 minutes each hour. It allows you to have better rest and at the same time not «to lose a thread», penetrating into work after a long break.
How many times you interrupt on a smoke break? To increase efficiency, we need to reduce unproductive expenses of time. Find out if it is possible to establish vocal mail instead of continuous answers to calls. If you are necessary for calling in some places, call serially in a short time interval, without spreading the calls for all the day.
The most effective way to create more time is to increase quantity of productive hours per day. It means to develop a habit less to sleep and use remained time more productively. Wake up in 5-6 o'clock in the morning. This time is the most productive from the point of view external irritants. Nobody calls, nobody disturbs on email - you can use with advantage it, instead of rolling in a bed. Use evening hours for reading books on a theme of your project, or preparation for tomorrow's work, instead of TV watching.
Establish to yourself the certain periods when you are engaged exclusively in work. During such moments do not answer calls, on e-mails and on messages on ICQ. From time to time join the dialogue for not to drop out of the topic in general.
Do work quickly, but thus effective. During the day there are many types of activity which it is possible to do faster (or not to do at all), receiving in exchange a lot of valuable time for self-development and professional growth. Print faster. The majority of our work is connected with computers. You will be surprised, how much time it is possible to save if you learn to type blindly and thereby to speed up typing.
Dead-lines. Give yourself a deadline of solving a problem. Let even small tasks be limited in time, as, for example, post writing. Establish to itself time limit for this or that problem setting for example 1 hour and look, as far you will manage.
Be better prepared. Check up, whether your workplace is ready to immediate work next morning. Always keep a workplace clean and in order. Every evening sum up what you have made and prepare tasks for next day. Work with papers and write down. The key moment of efficient time and activity control is to remove the unnecessary information from your mind, and correctly to organize your working day. It can be the paper scheduler or a notebook. Create the next day schedule on a paper. It works quickly and effectively then trying to remember what you were going to do the next. In some time you will find out that you will have enough time to manage to do much work more effectively.
Many wrongly believe that the most reliable way to be kept on work - to come to office earlier, to leave later and to take work at home. However constant congestion results not only in weariness, but in a headache and a sleeplessness as well.
